Explorer Unit Council Meeting Minutes

Meeting held at Paddicks Patch, January 2nd 2007 commencing 17:00

1) Smoking to be banned from anywhere in Paddicks except outside the (un-opened)  fire-door at back of the hall. Deep ashtray tin to be provided.

2) Everyone will join in with Flag Break & Flag Down (ie all weekly meeting "Parades"), with no exceptions.

3) New members to start paying Subs within 4 weeks (roughly, asap after 4 weeks, depending on Colin's availability to send the forms to the parents)

4) The Subs Standing Order Form be amended to include requests for "uniform size required" + a seperate cheque to pay for that Uniform.

5) New members to be invested once Subs S/O is returned, with the cheque for Uniform, and it has been ordered from the Scout shop and delivered.

6) Leaderless Camps to renamed Explorer Led Camps

7) Explorer Led Camp Leader role to be rotated voluntarily but fairly equally to give everyone a chance to Lead and be Deputy.

8) Explorer Led Camp Leader (and Deputy) to be respected at all times and obeyed (within reasons) even if members disagree.

9) A "wrap up meeting" to be held after each Explorer Led Camp to discuss successes & failures and "useful" feedback on Leaders performance.

10) Explorer Led Camp Leader must submit a list of suggested & costed program items for the participants to vote on some weeks before.

11) Explorer Led Camp Leader to submit final program and costings to DESC and Leader team for publication at least 7 days before camp.

12) Failure by Explorer Led Camp Leader to submit program will automatically cancel the camp, which will be converted into a "work camp".

13) A Work Camp is by DESC and Adult Leader Team invitation only and is held solely to work on the various Paddicks Patch Maintenance Projects.

14) On any Explorer Led Camps off-site activity, the appointed activity leader (if not Leader or Deputy) will be in charge and will be fully respected.

15) Explorer Led Camps are run under the full POR and Scout Organisation standard published Camping rules, including all discipline & Uniform rules.

16) A whiteboard will be placed in the hall entrance during Explorer Led Camps where all Explorers who are at the Camp will write their names

17) Anyone going off-site for any reason will write against their name exactly when they leave, roughly where they are going and roughly when due back

18) All participants at an Explorer Led Camp must have a PC to stay overnight (POR) and must pay a fee even for Day Stay Only to cover food costs.

19) Explorers interested in being paid into their V/Acc for cleaning Paddicks Patch will share a set of keys (currently held by Dan B)

20) A Cleaning Rota/Menu should be drawn up by Explorers of what needs to be done and how often, who last did it, and how long they spent on it.

21) The Paddicks bookings are now published under "Paddicks" on the web site so that the Cleaners can see when extra visits may be required

22) Cleaning (or hopefully just checking!) should take place immediately before any Campers arrive to ensure Paddicks meets expected standards.

23) After Campers leave a site inspection should be done asap, pictures taken and emailed to Colin as required, and a full clean-up done.

24) Mandatory Parades (St Georges Day, Remembrance Day) attendance will be rewarded. (Colin suggested a free week-end camp)
